Here are some examples of what we can do to help businesses.  This will help you better understand what our company does by drawing out potential scenarios that an owner, employee, or office manager may ask.

Question 1:My company has grown so quickly recently that I have noticed that our client files are scattered all over the pc’s in our office.  I try to locate the Smith file from the computer network, and Sally’s pc is off, so I cannot get to the files.  On top of that, I know we are not backing up all the information we have on the office pc’s nightly.  What can I do to centrally locate all company files and securely lock them so the right people have access to the right information in my company?  I would also like to know how I can make my backups more reliable and know they are occurring successfully on a nightly basis.   

Answer:Chances are your company has grown to a level to where you need to have a central place where your company computer files are stored and secured.  This will give you the ability to manage and control the information your company collaborates with on a daily basis more efficiently.  Your company used to be 2 people in the basement.  It has now grown to 20 employees in an office.  Generally, a file server lets employees and office managers spend less time finding computer files and addressing technical issues, and more time addressing their core competencies (aka: They spend more time making money for the company).  Your company most likely will also need a solution that will enable a reliable and automated nightly backup of company data on the file server (usually a file server and backup solution go hand-in-hand).  The key to a good backup is how quickly and reliably you can retrieve lost data.  The questions your company should be asking are: “How much money could our company lose for every work hour our computers are down?  How much time does our staff spend trying to locate documents on the pc’s per day?”  

Question 2: How do I connect to my office computer network from my home pc so I can access all the computer programs that I use at work?

Answer: A solution can be put in place so you can work from home using a variety of methods.  Based on your company requirements regarding how many people need this ability and what information needs to be accessed, this solution can be achieved.  The questions your company should be asking are: “How much additional money can our company make if I have employees working from home during snow days and/or weekends?  What type of value do we add to our clients quantitatively if our company implements this type of setup?”   

Question 3: I would like a handheld wireless device that would enable me to view, delete, and add items to my Outlook calendar and email in real-time when I’m outside of the office.  This would enable the employees back at my office to view appointments and meetings on my calendar within seconds, as well as view my email and email attachments as I see them.  I would also have 24/7 access to my corporate email.  How can this be done?

Answer: This solution can be done using corporate Blackberry handheld software.  Blackberry handheld devices can work using two types of setups: the corporate solution and the home user solution.  Generally, the corporate setup is recommended for companies that have at least 5 employees that need to be highly mobile at all times.  Based on your company’s business requirements involving the speed of communication with employees and clients, this may be the solution to put into place to put your company above your competition.  The questions your company should be asking are: “How much additional money can my company make if I give key employees 24/7 access to the email system from a handheld that is always with them?  What type of impact would we have to our clients/potential clients/employees if we have the ability to communicate via email in seconds?” 

Question 4: Our company would like a way to build a knowledge base of our clients and potential clients so that we have a running history of all the past and present work performed and up-to-date details on the people we come into contact with.  This will build horizontal communication awareness of the relationships we have with our clients to everyone in my organization.  This will also help in up-selling our services to existing clients.  My company would also like a better way to gain more visibility of our sales pipeline and lead generation process to see if these processes are effective.  How can we streamline these processes to measure effectiveness?   

Answer: There are many software solutions on the market today that streamline and measure the effectiveness of your marketing strategies, lead generation conversion ratios, and ROI analysis on marketing campaigns.  Believe it or not, the most important piece to implementing this type of solution is buy-in, not the technology aspect.  Everyone in the company must be involved in the evaluation process, and believe in the solution that is being implemented.  There has to be an open cross-communication with everyone in your company when your customer relationship management needs assessment is performed.  The questions your company should be asking are: “How much money does our company lose due to leads falling through the cracks?  “Is our current means for tracking our marketing efforts measurable in any way?”
